The client

Our client is a global investment management firm with an established presence in London.

Over time, different people within the organisation have approached London Serviced Apartments to arrange accommodation for different employees and guests.

The requirements have varied considerably. Some stays have been relatively short, while others have involved extended periods in London. Different apartments have been selected for different travellers, but one requirement has remained particularly important: finding suitable accommodation in and around Marylebone, with convenient access to the company's London office.

This has developed into something more valuable than a series of unrelated reservations.

It has become an ongoing corporate accommodation relationship in which different members of the organisation can approach LSA with a new requirement and benefit from the knowledge built up through previous bookings.

A corporate accommodation relationship does not have to depend on one travel manager or one preferred property. LSA can provide continuity across different bookers, travellers and accommodation requirements.

The requirement

Unlike a company that repeatedly books the same apartment for each employee, this client's requirements have called for different solutions.

The traveller changes. The length of stay changes. Availability changes. The preferred apartment may not always be available.

Individual guests can also have particular preferences that need to be incorporated into the search.

What remains consistent is the importance of understanding the company's requirements and, particularly, the value it places on the Marylebone area and convenient access to its London office.

This means that when another requirement arises, LSA is not necessarily starting with a blank sheet of paper.

We already have experience of the organisation, the locations that have worked for previous travellers and the types of accommodation that have been considered before.

How LSA supported the client

1. Supporting different bookers and different travellersThe accommodation relationship has involved different people within the company arranging stays for different employees and guests. Rather than the relationship depending entirely upon one individual contact, LSA has been able to provide continuity across those separate requirements.
2. Keeping location central to the searchMarylebone has repeatedly been an important area for the client's London accommodation. For some requirements, being within convenient walking distance of the office was particularly important. LSA could therefore use that knowledge when considering subsequent options rather than simply presenting apartments across London that happened to be available.
3. Matching individual traveller preferencesEven within the same company, different guests can have different requirements. On one search, for example, the traveller specifically wanted to avoid basement and ground-floor accommodation. LSA could combine what we already knew about the corporate account with the individual requirements of the new traveller.
4. Managing stays of very different lengthsThe company's requirements have ranged from shorter stays to considerably longer assignments. The booking history includes extended corporate accommodation requirements running for several weeks and other enquiries involving potential stays extending across a number of months.
5. Supporting extensions and changing plansCorporate assignments do not always finish on the date originally anticipated. On one extended stay, the guest needed to remain longer and LSA liaised with the accommodation provider so that the existing apartment could be retained, including confirmation that the existing rate could continue.
6. Finding alternatives when circumstances changed unexpectedlyOne unusual requirement followed an unexpected accommodation disruption involving flooding associated with a burst public water pipe. Because LSA works across multiple serviced apartment operators rather than being tied to one building, alternative accommodation could be investigated in the Marylebone area, and the client was able to consider and view another option.
7. Remaining involved when an in-stay issue aroseOn one occasion, a guest experienced a housekeeping-related issue during the stay. LSA became involved and liaised directly with the accommodation operator to help progress the matter.

Why this relationship is different

There is no single apartment that defines this account.

There is no single traveller.

And there is no single person within the company through whom every reservation has to pass.

Instead, the continuity comes from the corporate relationship itself.

Different colleagues can approach LSA. Different employees can travel. Different apartments can be selected. The duration of the stay can change from one requirement to the next.

But the accumulated understanding of the client's accommodation history does not need to disappear each time.

That becomes increasingly valuable as a corporate relationship develops.

The outcome

Over time, individual accommodation requirements have developed into an established relationship supporting different people across the same organisation.

The client has been able to use different serviced apartments according to each traveller's requirements while retaining a consistent accommodation partner behind the bookings.

LSA's role has included:

  • sourcing accommodation around an established location preference;
  • considering individual traveller requirements;
  • liaising with different serviced apartment operators;
  • supporting longer stays and extensions;
  • finding alternatives when availability or circumstances changed;
  • facilitating property viewings where appropriate; and
  • remaining available when an issue arose during a stay.

The result is not a fixed accommodation programme.

It is something more flexible:

an ongoing corporate accommodation resource that can adapt as the people, dates, apartments and circumstances change.

LSA Partnership Guide

Two service principles demonstrated in this case

Corporate continuity across different stakeholders

An accommodation relationship does not have to begin again when a different executive assistant, travel contact or colleague makes the next enquiry. Previous booking experience can provide continuity while each new requirement is still considered individually.

Independent sourcing across multiple accommodation providers

LSA is not tied to one serviced apartment building or operator. If a preferred property is unavailable — or circumstances mean another solution is required — we can investigate suitable alternatives across our accommodation network while retaining the client's key requirements.
