How London Serviced Apartments helps a financial services company manage group accommodation, changing arrival dates, negotiated rates and complex booking requirements.
Organising accommodation for one employee travelling to London can be relatively straightforward. Organising accommodation for a large group of interns arriving at different times, staying for different periods and sometimes changing their plans shortly before arrival is considerably more complex.
A London-based financial services company has worked with London Serviced Apartments to help manage accommodation for its annual summer intern programme.
The programme typically involves numerous serviced apartments for stays extending over several weeks or months. For the 2026 programme, the client anticipated approximately 15 interns, with some variation in individual arrival and departure dates expected across the group.
And the requirement does not remain static.
As each summer programme develops, intern numbers can change, arrival dates move, visas can be delayed, stays may need to be extended and accommodation that was originally required may occasionally need to be cancelled.
The client therefore needs more than a collection of apartment reservations. It needs a coordinated accommodation programme that can evolve alongside its recruitment and internship arrangements.
A group booking involving numerous apartments for several months is very different from booking one or two apartments.
The commercial commitment is greater for both the client and the apartment operator, which means matters such as:
can become just as important as the accommodation itself.
London Serviced Apartments works between the client and the apartment operator to help establish arrangements that work for both parties.
For this client, that has included negotiating dedicated group rates and discussing amendments to standard commercial arrangements where the client's requirements could not readily be accommodated within the usual booking structure.
When planning one year's programme, for example, the client asked for a different payment schedule from the one previously offered. LSA took the request back to the accommodation provider and worked through the proposed changes.
In subsequent years, group contracts and commercial arrangements have continued to form an important part of the planning process.
The work does not begin when the interns arrive.
LSA and the client start discussing the following year's requirements well in advance, allowing our team to speak with apartment operators and their revenue teams before the summer period.
For the 2026 programme, discussions with the accommodation provider had already begun in September 2025, with LSA seeking group pricing before final intern numbers and individual dates had been confirmed.
This early planning helps give the client a framework around which the programme can develop, while recognising that the final requirement is likely to change.
The value of active account management became particularly clear during the 2025 programme.
One intern's visa had not been approved in time for the planned arrival.
The client's problem was difficult: releasing the apartment could reduce unnecessary accommodation costs, but doing so could also mean losing it altogether at a time when the property was heavily booked. Keeping it indefinitely, meanwhile, risked paying for nights that the intern could not use.
The arrival date consequently changed several times while the client waited for the visa decision.
LSA liaised directly with the residence management and the apartment operator, explored the available options and continued negotiating on the client's behalf.
As a result of those discussions, the client received a credit for seven nights while LSA also helped manage the risk of losing the apartment before the intern could travel.
Once the visa was approved, the booking was amended again to reflect the new arrival and subsequent accommodation requirement.
That visa issue was only one example.
Across successive programmes, LSA has handled:
For the client, this creates a single point of contact rather than requiring its HR, travel, finance and administrative teams to manage numerous individual apartment arrangements directly with accommodation providers.
The relationship has also developed beyond the core summer intern programme.
Alongside the annual group requirement, the client has returned to LSA for additional individual and extended-stay bookings at other times of the year.
That continuity is valuable.
Our team already understands the client's preferred accommodation, internal processes and typical requirements, while the client has an established contact who can manage both planned programmes and additional accommodation needs as they arise.
Since 2023, LSA has supported the client across successive annual summer accommodation programmes, with each year's requirement evolving to reflect different intern numbers, dates and individual circumstances.
Over that period, the details have changed from year to year — but the underlying requirement has remained the same:
LSA's role has therefore extended beyond sourcing apartments.
We help coordinate the programme, negotiate with accommodation providers, manage amendments and deal with the unexpected issues that inevitably arise when multiple people are travelling for extended periods.
This case demonstrates two important parts of our corporate accommodation approach:
negotiating rates and commercial terms for a substantial group requirement,
and ongoing programme management when traveller numbers, dates and individual circumstances change.

What began as a group accommodation requirement has developed into an ongoing multi-year relationship.
The client continues to use London Serviced Apartments for its annual summer intern accommodation programme as well as additional accommodation requirements outside the main cohort.
For a large group booking, the lowest advertised nightly rate is only one part of the equation.
The commercial terms, flexibility, administration and ability to resolve problems when circumstances change can be equally important.
That is where a managed accommodation service can make a significant difference.
Coordinating accommodation for a group arriving in London on different dates can quickly become time-consuming — particularly when numbers and travel arrangements are still changing.
London Serviced Apartments can help companies manage multi-apartment requirements, extended stays, staggered arrivals, group rates, commercial terms, amendments and ongoing accommodation administration.
Our team works directly with serviced apartment operators to help find practical solutions rather than leaving your team to manage every reservation separately.
