The Challenge

When a UK production company first contacted London Serviced Apartments, they were looking for furnished accommodation for several members of their production team working from a base in East London.

The initial requirement involved multiple stays of approximately one month, with team members arriving and departing on different dates.

The brief was relatively straightforward on paper: comfortable studios or one-bedroom apartments, convenient for the production base, with kitchen facilities and within the client's target budget.

In practice, however, the requirements continued to evolve.

Different guests needed accommodation at different times, dates changed, additional team members were added and, on one occasion, a guest potentially needed accommodation that would accept two cats.

This meant the client needed more than simply somewhere to search for available apartments. They needed an accommodation partner who could respond as their production schedule changed.

Our Approach

London Serviced Apartments worked with the client to identify suitable professionally managed accommodation and liaised directly with apartment operators where necessary.

Rather than treating every request as an isolated booking, our team became familiar with the client's requirements and could help as new accommodation needs arose.

  • Sourcing studios and one-bedroom apartments for extended stays.
  • Checking locations against the team's production base.
  • Working within agreed budget parameters wherever possible.
  • Speaking directly with apartment operators about availability and rates.
  • Investigating unusual requirements, including pet-friendly accommodation.
  • Managing changes to guests and stay dates.
  • Checking booking details where information did not correspond with the original request.
  • Responding to additional and sometimes short-notice accommodation requirements.

When Requirements Changed

One of the advantages of a managed accommodation service became particularly apparent when the client returned with a short-notice requirement for another team member.

The accommodation was required within days and some of the guest's travel arrangements were still being finalised.

Availability had tightened and the rate previously obtained by the client was no longer available.

LSA's response: instead of relying solely on the rates displayed at that moment, London Serviced Apartments spoke directly with the apartment operator and secured a lower rate than the operator's then-current quoted level for comparable availability.

Our team also identified a discrepancy between the requested arrival date and the subsequently submitted booking information and checked this with the client before the reservation was finalised.

Small details such as these can become particularly important when a company is coordinating accommodation for several people alongside the demands of a busy production.

From One Enquiry to an Ongoing Relationship

The initial enquiry was not the end of the story.

The client told us from the outset that further accommodation requirements were likely. They subsequently returned with a considerably larger programme involving seven planned month-long stays, followed by further bookings and enquiries as their requirements developed.

What began as an initial accommodation search therefore developed into an ongoing working relationship.

Instead of having to start again each time a new team member required accommodation, the client had an LSA team that already understood the type of apartments, locations and stay patterns they were looking for.

How this reflects LSA's managed corporate service

This case demonstrates two parts of our wider corporate accommodation approach:
live supplier outreach when availability or rates change, and
ongoing booking management as guest names, dates and requirements evolve.

The Outcome

London Serviced Apartments helped the client manage a changing programme of extended-stay accommodation for multiple production team members.

The relationship continued beyond the original requirement, with the client returning to LSA for further accommodation as new needs arose.

For the client, the benefit was not simply access to apartments. It was having someone available to search, check, negotiate, coordinate and resolve issues when accommodation requirements changed.

Planning Accommodation for a Production or Project Team?

When several people are travelling to London for different dates and lengths of stay, coordinating accommodation can quickly become time-consuming.

London Serviced Apartments can help source and manage serviced accommodation for production crews, project teams and other groups requiring multiple or extended stays in London.

Our team can speak directly with apartment operators to investigate availability, alternative apartment types, different dates and suitable options that may not always be immediately obvious from an online search.
