The client

Our client is the European operation of an international consumer goods company whose employees regularly travel to London for temporary assignments and business stays.

Different employees travel at different times, so new accommodation requirements arise throughout the year as individual colleagues need somewhere suitable to live while working in London.

A successful corporate accommodation strategy does not always mean starting a completely new property search for every traveller. Once a company has found a solution that consistently works, the priority can become making each future stay simple to arrange and well supported.

The requirement

Through earlier bookings, the client had identified professionally managed serviced apartments in West London that suited many of its employees.

Rather than asking the corporate contact to research the London market from the beginning every time another colleague travelled, LSA could first investigate availability at a property the client already knew and was comfortable using.

Familiarity did not mean every booking was identical. Each employee could have different dates, apartment requirements, arrival arrangements or practical needs, and assignments could change after accommodation had been booked.

The client therefore needed both consistency and flexibility.

How LSA supported the client

1. Building on a property that already workedFollowing successful stays, the client returned to LSA for further employees requiring accommodation in London. Where appropriate, LSA checked the familiar West London property first rather than unnecessarily restarting the search from the beginning.
2. Managing different employees through one corporate relationshipAlthough the company contact remained familiar to LSA, the actual travellers changed. LSA could retain the history of the corporate relationship while arranging accommodation around each new employee.
3. Negotiating with the accommodation providerOn individual requirements, LSA discussed rates directly with the serviced apartment operator and sought improved commercial terms where possible, so the client could continue benefiting from supplier negotiation even when it already had a preferred property.
4. Supporting changing assignment datesSeveral bookings subsequently required extensions. LSA checked continued availability, confirmed whether the existing rate could continue and arranged the additional accommodation once the client approved the revised dates.
5. Handling individual traveller requirementsThe relationship also involved practical requirements such as advance check-in information, apartment address details for company logistics, parking enquiries, requests for apartment equipment and preferences around arrival arrangements.
6. Helping manage accommodation administrationWhen one employee's stay was shortened while another accommodation requirement was being arranged, LSA issued a credit note for the shortened stay and used it against the new booking invoice, helping the client manage two changing requirements within the same relationship.
7. Remaining available during the stayWhen employees experienced issues at their accommodation, the corporate contact could return to LSA. The team then liaised with the serviced apartment provider and its guest-services or maintenance teams to help progress the matter.

Why repeat accommodation can work well for companies

There is considerable value in finding an accommodation solution that employees and the corporate travel team already understand. The company knows the general location, style of accommodation, arrival process and what employees can expect when they stay there.

That familiarity can make the next booking more efficient. Instead of reviewing dozens of properties every time, LSA can initially investigate whether the known solution is suitable and available. If it is not, the team's knowledge of the client's previous bookings provides a useful starting point for alternatives.

Importantly, repeat use does not remove the need for human support. Dates still change, apartments may need to be extended, individual employees have different requirements, practical questions arise and occasionally something goes wrong during a stay.

Support when circumstances change

During different employee stays, LSA helped coordinate extension requests and practical booking matters and became involved when accommodation issues required attention from the property operator.

Examples included a maintenance issue in an apartment, a building alarm issue and a later hot-water problem that was escalated to the property team.

The purpose of LSA's involvement is not to replace the building's own operational or maintenance teams. It is to give the corporate client an additional point of contact that already understands the accommodation relationship and can help liaise with the appropriate provider when support is needed.

The outcome

What began as individual accommodation bookings developed into a repeat corporate accommodation relationship involving different employees over an extended period.

A familiar serviced apartment solution became a useful first choice for many of the company's London requirements, while LSA continued to support the individual details surrounding each traveller.

The result was a practical accommodation routine: a known corporate contact, a property solution with an established track record, direct supplier liaison and an LSA team that retained the history of the account.

For the client's travel contact, this can mean less time starting accommodation searches from scratch and more confidence that future requirements can be handled through a process that has already worked.

LSA Partnership Guide

Two service principles demonstrated in this case

Account continuity and repeat requirements

A corporate client should not have to explain its accommodation history from the beginning every time another employee travels. Previous preferences, locations and successful solutions can inform the next requirement.

Ongoing booking and in-stay management

Extensions, administration, special requests and unexpected accommodation issues may all require coordination during the life of the booking.
